Use of Electronic Resources

The University of Winnipeg Library licenses many electronic resources for its faculty, staff, and students to use; this includes databases, e-journals, and e-books.
Access to these resources is governed by license agreements with the resource providers. The agreements stipulate that these resources may only be used for personal, educational and research purposes. Commercial use is not allowed. Access to these resources is restricted to current faculty, staff and students of the University of Winnipeg, as well as alumni and members of the public (while at the library) who request a Digital Access Pass.

Access to digital resources from personal devices and off-campus computers is granted through a Proxy Server via your University account login.

 

Policies

In accordance with the University's Acceptable Use of Information Technology Policy (PDF), the Copyright Policy (PDF), and the Copyright Policy Procedures (PDF), it is the responsibility of each member of the University of Winnipeg community to ensure that electronic resources are used in an effective, ethical, and lawful manner and to abide by the licensing terms for each resource. Excessive downloading, distributing or retaining substantial portions of the information is prohibited and may result in loss of access. Privacy: Some licensed resources allow you to create a personal account for the purposes of creating folders, saving searches, and downloading material along with other personalized services. Please be advised that Canadian privacy laws do not apply to the personal information you provide to these and other external websites. It is strongly recommended that you review the privacy policies of these and other external websites before using their services.

Please remember that violation of our license terms by anyone may result in the loss of access to that resource for the entire university community.   • Use by "walk-in" users not affiliated with the University of Winnipeg while on the premises
  • Off-campus access for those who are not faculty, staff, or students of the University of Winnipeg
  • Printing or downloading a limited number of electronic copies for your personal use (of an article of book chapter for yourself)
  • Excessive printing or downloading of licensed material (e.g. whole journal issues, entire books); Using software such as webcrawlers or other automated means to systematically download or make copies of licensed material for any purpose
  • Using licensed material for study, research, instruction, and educational purposes
  • Commercial use, selling or distributing licensed material; publishing, distributing, or making available any portion of the electronic resource except as detailed in the Canadian Copyright Act
  • Sharing with UWinnipeg faculty, staff, and students (an article with a member of The University of Winnipeg)
  • Sharing material with others not affiliated with the University of Winnipeg
  • Posting persistent links to licensed material (links to specific content)
  • Posting or scanning licensed material to the internet, personal websites, unsecured electronic networks (e.g. electronic bulleting boards, news groups) or third party Artificial Intelligence platforms
  • Obscure or alter any copyright or other notices appearing in the electronic resource

Glossary

Accessible Formats- Content in a format that is perceivable and operable by persons with visual, perceptual, physical, or other print disabilities, and is usable with assistive devices.

Authorized Users - The group of users permitted to use an electronic resource. Depending on the resource license, this may include current students, staff and faculty of the University of Winnipeg, (full- or part-time, permanent, temporary, contract or visiting appointments) and researchers associated with the University of Winnipeg. Authorized Users may also include individual members of the public (walk-in users) while they are physically on the premises at the University of Winnipeg Library. Alumni and retired staff, unless working for the university, are considered walk-in users.

Commercial Use - Use of the Licensed Materials for the purposes of monetary reward by means of sale, resale, loan, transfer, hire, or other form of commerce. Our resource licenses do not allow for commercial use.

Concurrent Users – The number of users that can simultaneously access an electronic resource.

Course Management System – An electronic learning environment/system (such as Nexus) hosted on a Secure Network for use by its faculty, students and staff in connection with specific courses of instruction offered by the University of Winnipeg. This system must be password protected and only accessible to Authorized Users.

Course Pack - A collection or compilation of scholarly materials (e.g. book chapters, journal articles) assembled by UW staff for use by students in a class for instruction. May be print or electronic in format and is protected by copyright.

Data / Text Mining / Artificial Intelligence (AI) - The process of applying automated tools and processes to systematically download or harvest articles, citations or metadata for the purposes of textual analysis and visual mapping of textual relationships.

Electronic Linking - The use of persistent links to licensed materials for access by Authorized Users from within Secure Networks.

Electronic Reserves - Electronic copies of Licensed Materials (e.g. book chapters, journal articles, abstracts) made and stored on a Secure Network (such as Nexus) and for use by students and staff in connection with specific courses of instruction offered by the University of Winnipeg.

Fair Dealing Usage - License term that indicates a user's right, as outlined in Canadian copyright law, to use a copyright protected work without further permission or payment of copyright royalties. The fair dealing exception of the Copyright Act gives permission to use copyright protected material for the purpose of research, private study, education, satire, parody, criticism, review or news reporting, as long as what you do with the work is ‘fair’. Interlibrary Loan – By paper or electronic means, the transmission of a single copy of an individual document to another institution within the guidelines of traditional interlibrary loan practices and applicable copyright laws. Interlibrary Loan is not intended for commercial use.

Public Performance Rights – Whether or not a video or film may be shown publicly outside of a classroom setting. Non-educational uses of a video or film such as those by student societies for events which would not normally be considered to be directly related to the curriculum, require public performance license.

Scholarly Sharing – The transmission of, either in hard copy or electronically, portions of licensed materials to unauthorized users for personal use or scholarly, educational, or professional use. To be used for scholarly and educational use, but not commercial use.

Secure Network - A computer network that is only accessible to Authorized Users by Secure Authentication.

Walk-in/Guest Users - Individual members of the public who may access the University of Winnipeg Library’s e-resources while in the Library and on library computers by using a Digital Access Pass. For the avoidance of doubt, walk-in use is intended for individual users, not as a substitution for a license by another institution.
