Borrowing

Borrower Types
Student

Library accounts are automatically created upon registration for all students, including students in the Joint Masters program.

Faculty and Staff

Both Regular Academic Staff (RAS) and Contract Academic Staff (CAS) must bring their UWinnipeg ID card to the library's Circulation Desk to register their library account. Professors Emeritus retain full faculty borrowing privileges but should apprise staff of their appointment to ensure their account is kept up to date.

Retirees
Individuals who have retired from the University of Winnipeg are entitled to both print and on-site digital access at no cost.
Update your employee account at the Circulation Desk.
You may continue to use your UWinnipeg ID as a library card or request a new library issued card.

Sponsored Researchers
Senior scholars, post-docs, visiting scholars, research scholars, research assistants, interns, and all other researchers with a contract or appointment position at the University of Winnipeg receive full access to the library's print and digital resources, including off-campus access to electronic resources.
Learn how from the following Sponsored Researchers [PDF].

Alumni

Individuals who have graduated from the University of Winnipeg are entitled to both print and on-site digital access at no cost.

Reciprocal institutions include all members of CURBA and Red River College. Institution ID must be presented at Circulation Desk.

Borrowing Procedures

Borrow

A physical UWinnipeg ID, UW Library Card, or accepted Reciprocal Institution card must be presented to borrow anything out of the Library.

Find items by searching our online catalogue or browsing the shelves.

Bring your items and ID card to the Circulation Desk by the library's entrance.

Multimedia items, course reserves, and COPPUL SPAN are kept behind the Circulation Desk - you can ask staff to retrieve these items for you.

Items labeled "Library Use Only" cannot be checked out of the library. This includes Reference items and unbound periodicals (journals and magazines).

Digital items such as e-books require a university network account.
Patrons who do not have a network account may borrow a Digital Access Pass to gain limited access to digital resources on library computers.

Loan Period

Your account determines how long you can borrow items for.
For loan periods, everyone falls under one of two categories. UWinnipeg Patrons or Community Patrons.

Renew

Most items can be renewed up to six times unless they have been requested by another patron.
To renew, log in to your Library Account or contact Circulation via email, phone, or in person.

Items cannot be renewed if they are overdue. If you are unable to renew your items, you will need to first return them and have Circulation staff sign them back out to you.

Interlibrary loans cannot be renewed through your account. Please contact ill@uwinnipeg.ca to request a renewal for interlibrary loan items. These are not determined by the University of Winnipeg Library.

Request and Recall

When selecting a physical item from our library catalogue, you will see either a green check-mark for Available or a red-barred circle for Checked Out. Either way, you will have the option to Request for Pick Up.

Log in to your Library Account when prompted and select your pick up location; either in person at the Library Circulation Desk or from the Smart Lockers.

If the item is readily available on shelves, staff will receive notification and fulfill the request within 1-2 business days.

If the item is already borrowed and unavailable, it will be Recalled from the current borrower. This will shorten the original loan period for the active borrowing patron, notifying them that they will have 7-14 days to return the book for the next user.

Recalled items are subject to late fines. If a patron does not return a recalled item on time, they will be charged a late fee of $1.25 per item per day, to a maximum of $35 per item.

When your requested or recalled item is ready for pickup, you will be notified by email with a reminder of the chosen pick up location.

If we were unable to fulfill a request for any reason, you will be notified by email.

Pick Up

Requested items are processed within 1-2 business days.
Recalled items may take 1-2 weeks.

You will receive an email when your item is ready for pick up.
Please wait for this email - your item will not be ready any sooner.

If picking up from the Library Circulation Desk, please present yourself at the front desk near the library's entrance. Your UW or Library ID card is required to take out any items.

If picking up from the Smart Lockers, your UW or Library ID card is required to scan at the terminal. The lockers are accessible during campus hours and located on the main floor of Centennial Hall, against the going-up escalator.

Return

UWinnipeg Library Materials can be returned through any one of three drop-in slot locations:

  1. Centennial Hall south main entrance, in-between the outer and inner doors, right side. (One slot)
  2. Centennial Hall 4th floor, left of the library main entrance from the outside. (Two slots)
  3. Inside the library, right side of the Circulation Desk. (Three slots)

Interlibrary Loan materials should be returned to the Interlibrary Loan box found within the library between the Reference Collection and the Reference Desk.

Course Reserves should be returned to the Circulation Desk whenever possible, or otherwise a drop-in slot.

Overdues, Fines and Fees

Late fines are only charged for items that have been recalled, at a rate of $1.25 per day to a maximum of $35.00 per item.

No other items are subject to late fees; however, once an item becomes long overdue (28 days overdue), a replacement fee will be charged to your account and the library will begin sending reminders to return the item by a set deadline.

If the item is returned by the new deadline, the fee will be waived. Otherwise, it will be marked as lost and the replacement fee on your account will become non-refundable, even if you return the item.

Blocked Accounts

Library accounts are blocked if any of the following occur:

  • The account has more than 10 items overdue
  • The account has items that are long overdue
  • The account has accrued fees of more than $25.00

How to Pay

Fines and fees can be paid by cash, cheque, debit, or credit (Visa or Mastercard). All forms of payment are accepted in person at the Circulation Desk. Credit card payments can also be taken over the phone.

Partial payments are accepted, but account blocks are not lifted until the balance is paid in full or a payment plan is established.
